Operations Manager

OVERVIEW

KCSIC is a nonprofit impact agency with a mission to create economic opportunity and social impact by advancing innovation in learning, workforce development, and human capital initiatives in an age of digital transformation. We design, catalyze, coordinate and fuel citywide initiatives – opportunity movements – that can create big impacts in areas where social change is most needed.


DESCRIPTION

The Operations Manager is a new, full-time role reporting to the Executive Director. This person will play an important role in managing the day-to-day effectiveness of KCSIC, including business systems, administration, and human resources functions. Additionally, the Operations Manager will serve as project manager for the Center’s large projects and will help establish the systems that support KCSIC’s next-gen, design-thinking approach to all portfolio initiatives. The Operations Manager will be a tech-savvy, highly organized, data and detail-oriented, self-disciplined individual passionate about opportunity equity and youth success; and keenly interested in managing the systems and infrastructure needed to support the Center’s organizational outcomes across a growing portfolio.


In the first 12 months, this position will:

  • Project manage the launch and deployment of the LaunchPath pilot and prepare for regional roll out in Jan 2020.

  • Project manage the migration of CRM platforms.

  • Develop standard operating procedures that support human resources and data systems.

  • Assist with website redesign/maintenance to improve functionality/UX.

PRIMARY RESPONSIBILITIES

  • Hire KC Program Support (approx. 50% of role)

    • Manage intern and student communications, including responding to inquiries, scheduling interviews, and other placement-based activities.

    • Manage intern timesheets and worksite supervisor relationships.

    • Plan and serve as on-site coordinator of program events such as orientation, special events; and manage space/planning for training and activities.

    • Manage intern attendance and program evaluation records, and coordinate the use of data analysis for learning and improvement.

    • Manage all aspects of intern HR activities and file maintenance.

  • Systems Management (approx. 50% of role)

    • Develop knowledge and information systems and maintain impeccable processes and procedures.

    • Support grant reporting and audit requirements through data tracking/gathering.

    • Manage main phone and email systems.

    • Manage website and marketing contractors, including protocols on communications, content development, and marketing deliverables.

    • Maintain, administer and train others on effective use of platforms and systems, including CRM and common software applications.

    • Act as Project Manager for complex projects and initiatives:

      • Regional Work-based Experience Marketplace

      • CRM migration

    • Contribute to the development and integration of new processes as appropriate.

    • Across all areas of work, contribute to annual operations calendars and manuals.


QUALIFICATIONS

The successful candidate will demonstrate:

  • Strong commitment to KCSIC’s mission and values.

  • Outstanding organization and detail orientation.

  • Comfort with cloud technology; experience with CRM or related systems preferred.

  • Excellent verbal and written communication and keen attention to detail.

  • Experience with event planning, administration and office management, and/or recruiting.

  • Relationship development and management skills; orientation to network-building.

  • Flexible and adaptive work style with the ability to thrive in a growing, entrepreneurial, mission-driven environment.

  • Valid driver’s license and regular access to a vehicle; willingness to travel to sites for program activities.

  • 3-4 years of relevant work experience.
